DDCVS Privacy Statement (UK GDPR -compliant)

Derbyshire Dales CVS (DDCVS) is the data controller for the personal data we collect. You can contact us at enquiries@ddcvs.org.uk or at our office address if you have any questions about how we use your information.

What data we collect and why

We collect only the minimum personal data needed to:

  • manage your membership of DDCVS
  • communicate with you about services, events, funding opportunities, and sector updates
  • support your interaction with DDCVS as a member organisation, partner, or enquirer

This typically includes your name, role, organisation, email address, and telephone number.

Our lawful bases for processing are:

  • Contract – to administer your membership
  • Legitimate interests – to provide sector support and information relevant to your organisation
  • Consent – for newsletters and optional marketing communications

You can withdraw consent at any time.

How we store and protect your data

Your data is stored securely in both electronic and paper formats. We work to ensure it is accurate, up to date, and protected from unauthorised access. We use:

  • Website Design Derby to host our website
  • AideCRM to manage newsletters and member mailings

These organisations act as data processors and meet UK GDPR requirements.

We do not transfer your data outside the UK, and we do not sell personal data.

How long we keep your data

We keep your data only for as long as your membership or interaction with DDCVS continues.
If your organisation leaves membership, or you are no longer the primary contact, we will securely delete your data from our systems and dispose of any paper records.

Your rights

You have the right to:

  • access the personal data we hold about you
  • request corrections
  • request deletion
  • restrict or object to processing
  • request a copy of your data in a portable format
  • withdraw consent for communications
  • complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we handle your data
